Proposal Search Coordinator

KGS Group is looking for a Proposal Search Coordinator to join our expanding Business Development System & Pursuits (BDSP) team to work from our head office in Winnipeg.

The Role 

In this integral role the Proposal Search Coordinator will serve as a liaison between the BDSP department and the broader organization to support engineering and scientific personnel to achieve KGS Group’s business goals and objectives. This is a hands-on role responsible for searching, identifying, tracking, and distributing relevant bid opportunities for KGS Group to our various offices.

Responsibilities are anticipated to include, but are not necessarily limited to:

  • Actively search and identify relevant bid opportunities through a variety of online bidding portals (e.g., Merx, Biddingo, Bids & Tenders, etc.) in Canada and the U.S.
  • Keep opportunity database updated and circulate new opportunities to the appropriate internal stakeholders; including any addenda or other communications related to active opportunities.
  • Consistently maintain opportunity database to ensure accuracy and reliability of data, including all bidding portal information (e.g., logins, passwords, payments, etc.).
  • Identify any unclaimed opportunities and follow up with appropriate internal stakeholders as needed.
  • Create / maintain tender search criteria based on market, services, regions, clients, etc.
  • Keep abreast of competitive procurement opportunities from existing clients and markets and maintain client specific tender portal access.
  • Completes government forms, client questionnaires, and qualifying statements.
  • Work closely with appropriate internal stakeholders regarding potential bid opportunities.
  • Facilitate activities of the Tender Search Team including scheduling, training, back-ups, etc.
  • Identify and implement initiatives to increase the efficiency and effectiveness of the proposal search process.

  • Other duties as assigned by BDSP Manager.

About You

We’re looking for a good mix of qualifications and previous experiences. Superior attention to detail, a high level of organization ability, and an ability to meet deadlines are extremely important keys to success in this role. Here are some ideal qualifications for this role:

  • Degree or diploma in administration, logistics, or another related field, or equivalent industry experience.
  • Two or more years of direct involvement in the search and generation of bids and leads; related proposal work experience an asset.
  • Knowledge and experience with online tender portals such as Merx, Biddingo, and Bids & Tenders is preferred.
  • Working knowledge of the Canadian A/E/C market and/or professional services experience an asset.
  • Be technically savvy, organized, proactive, and able to learn about our various services / departments / markets, etc.
  • High level of proficiency with Microsoft Office suite, SharePoint, Excel, Outlook, and Adobe Acrobat.
  • Capable of adapting to changing priorities in a very dynamic work environment and demonstrate the ability to work in stressful situations with critical deadlines.
  • Have excellent communication and interpersonal skills with a natural ability to build relationships and collaborate.
  • Be a natural self-starter with the ability to prioritize, self-schedule, and work with colleagues from various departments, market sectors, and locations.
